Understanding the Reservation Calendar

How to interpret what appears on the calendar

This article explains how to read what you see on the calendar, including reservation colors, icons, labels, unavailable dates, blackouts, and calendar notes.

Selected Rate Type

The Reservation Calendar shows what is happening across your rooms for the Rate Type selected at the top left of the calendar.

Please note: Rates, restrictions, and some unavailable-date labels are based on the selected Rate Type. If you change the Rate Type, the calendar may show different rates, restrictions, or availability for the same room and date.

For example, a room/date may show "No rates" when an event rate is selected, but show a price when the Best Available rate is selected.


Calendar Grid

The calendar grid is patterned with a subtle alternative light gray tint to help distinguish the rows horizontally. Friday and Saturday have a slight blue tint to help distinguish weekends vertically.


Legend

View the legend anytime by hovering your mouse over "Legend" on the bottom right of your calendar.


Reservations

Reservations and bookings are displayed with a color-coded pattern based on their payment status.

  • Green: Paid in full, no balance

  • Orange: Partially paid, has a remaining balance

  • Yellow: No payment, but has a credit card on file

  • Red: No payment, no card on file

A white dot on the left of the reservation indicates "Do not move" has been enabled on the booking. This tells the staff not to move this guest to another unit.

The reservation status is shown as an icon on the reservation. These allow you to see at a glance if the reservation is checked in or not, part of a multi-room booking or group reservation, or a repeat guest.

The reservation source icon shows whether the reservation was booked directly or via a connected OTA.


Unavailable Dates

Unavailable dates will display a patterned light-gray bar with a helpful note explaining the reason. Note that only blackouts and linked rooms apply to all rate types.

  • No Rates: The selected rate type doesn't have pricing configured

  • Stop Sell: The selected rate type is configured with a Stop Sell

  • Linked Room: The room is unavailable due it's linked unit. This is seen for Jack-and-Jill rooms or hotel buyout options.


Blackouts

Dates can be made unavailable for everyone with a Blackout. Blackouts should include a note explaining why they're marked as out of service. No one, including staff, can book a room that is blacked out.

Blackouts are solid color, darker, and support a custom note, all to help distinguish them from the other unavailable reasons.

Calendar Notes

Calendar notes allow your staff to see information about a particular date or date range. A canary yellow bar will apear at the top of the calendar to indicate the presence of a note. Simply hover your mouse over the note to read it.


Rates and Restrictions

The calendar can show both rates and restrictions per rate type.

Click the eyeball icon to toggle information on or off.

  1. Show Details: The second line of icons on the reservations.

  2. RATES & RESTRICTIONS - based on the selected Rate Type

    1. Show Rates: Show the rate after Yield Management Rules

    2. Show Restrictions: Show applied restrictions to see what will be enforced

  3. RESTRICTIONS - what restrictions to show (one at a time)

    1. Minimum Nights

    2. Maximum Nights

    3. Closed on Arrival and Closed on Departure

In the example below, you'll see the first date has no restrictions, the second has a 2 Night Minimum on Arrival, indicated by "2A", and the third night has a 2 Night Minimum Through, indicated by "2":


Housekeeping Status

The H indicator on the left side of the calendar shows whether a room is clean or dirty. A red square means the room is dirty. A white square means the room is clean.
