As an administrator of a ThinkOrganizations account, you may need to configure gift certificate settings and design as well as view redeemed certificates to pay out your members. Below are the steps for each of those things.
For all of the above, you will first want to log into the ThinkReservations account for your organization. This is separate from your Admin account for ThinkOrganizations. Navigate to ThinkReservations.com and click Log In at the top right. Enter your user email and corresponding password (again, this may be different from your login for Admin.ThinkOrganizations.com). Once logged in, follow the steps in the sections below!
Configure Gift Certificate Settings and Design
This works exactly the same as it does for any individual hotel using the ThinkReservations PMS. As such, you may simply follow the same instructions found in this article: Gift Certificate Settings
Viewing all purchased gift certificates
Navigate to "Gift Certificates" in the upper left dropdown menu of you ThinkReservations account. Here, you will find a list of ALL gift certificates and can search for and/or edit any of them
Viewing Gift Certificate Liability
Navigate to Reports in the upper navigation menu
On the left side, click "Gift Certificate Liability"
Here, you will see all gif certificates that still have a remaining balanceand have not expired.
Viewing Redeemed Gift Certificates to pay out your members
Navigate to Reports in the upper navigation menu
On the left side, click "Gift Certificates Redeemed"
Search your preferred date range. We recommend running this report on the first of each month for the entirety of the previous month, but your organization may choose a different cadence.
You will now see all organization certificates that were redeemed by a member hotel during that time frame.
Click on each "CONF #" to open the individual bills. We suggest opening them all in a new tab so you don't have to navigate back and forth to the report.
Within the individual bills, scroll down to find the "Created By" field. Often times, the suer email shown here will include the domain of the hotel where it was redeemed. If it does not, you may need to check with your members to see which hotel the user belongs to. This will allow you to identify which hotel needs to be paid out for the redeemed gift certificate.
