ThinkReservations allows you to build and customize emails that can be sent to the customer. This is done by creating email templates that can be reused during the reservation lifecycle. You can create an unlimited number of email templates.
1. To create a new email template, navigate to Settings > Email Templates (under the Email Configuration heading).
2. Click the New button on the top right.
3. Create the email by filling out the form:
Type - For emails that you want to send on reservations, use "Reservation". Other options are "Group Reservation", "Folio", or "Upsell".
Name - This is the arbitrary name of your email template so that you and your staff can identify it.
Subject - This is the subject line of the email that is sent with the email. Note that the subject line supports the use of Personalized Variables!
Message - This is the main content or body of the email message. This can include HTML and Personalized Variables.
Attachments - Attach up to two print templates to an email template. This is great for contracts. Every time this email template is sent, the attachment(s) you choose here will be attached to the email the guest receives.
In order to add an attachment, you first need to create the print template that will be attached.
Enter text as you see fit. If you need to add a link or wish to add text effects such as bold or italicized text, refer to our Simple Email Edits article for details. Note the list of Personalized Variables at the bottom of the New email template page. Simply cut and paste them into your message to use them.
4. Click Save at the bottom when ready. Once done, this email template will be available for you and your staff to send manually, and will be a new option in the list of choices for which automated emails are sent in your Email Rules.
If you would like to preview the template, you can open any reservation and begin the process of sending the email, but just never hit the Send button. Notice in the preview that if you have any print templates attached to your email template, they will show in the bottom left corner of the Email modal, as shown below.
