This document will walk you through the steps to creating and editing Print Templates in ThinkReservations. To work with Print Templates, Navigate to Settings > Print Templates
ThinkReservations templates are templates we've created for your use to make your life simple. You can use these as-is, or download them and make modifications at your discretion.
Custom templates are templates you create on your computer, using our Personalized Variables as needed. When you upload the .docx file, variables will be replaced with real-time data from reservations or folios. This option gives you ultimate customization to create any template you could imagine.
How do I create a new print template?
Navigate to Settings > Print Templates
Click the New button in the top right to start creating a new template,
Choose the TYPE of template that you wish to create.
A Reservation template will be available to print from a Reservation only.
A Group Reservation template will only be available from the main Group Reservation only.
A Folio template will be available to print from a Folio only.
Give the template a name for you and your staff to reference. If attached to emails, the name will be visible to guests.
Choose to either "Use a ThinkReservations template", and selection one from the drop-down, or "Create a new document".
If you chose a ThinkReservations template, you're all set. Just click Save!
If you choose to create a new document, choose to optionally download a working document as a starting point to edit.
Use personalized variables to create your own document on your computer with your favorite document processor. Ensure to save that document as a Microsoft Word document in the .doc or .docx file extension format.
Upload your Word document. When you add the file, the "Template preview" below will update.
Click Save to create your new print template.
Once done, this print template can be added to email templates or printed one-off. For Reservation templates, it can be printed in bulk from the Batch Printing report.
How do I edit a print template?
Navigate to Settings > Print Templates
Click the template you wish to edit.
(If needed, adjust the name of the template. This will potentially be visible to guests if you choose to use it as an attachment on any emails.)Click the Download button to download your current document if you don't have a copy handy already on your computer.
Edit the document on your computer with your favorite document processor. Just ensure that you save it as a Microsoft Word document in the .doc or .docx file extension format.
Upload your edited file. The "Template preview" below will update.
Click Save to update your print template.
A Note About Template Types: It's important to distinguish between template types, because Personalized Variables will only work in the templates they are associated with. For example, all Reservation Personalized Variables will work in a Reservation Template. While you will be able to use some Reservation Personalized Variables in a Folio template, Folio Personalized Variable will only work in a Folio Template. You can easily identify which type of Personalized Variable you are using by referencing the first section of the tag - e.g. ${reservation.total}.
