User Permissions

ThinkReservations allow you to manage your employee's level of access by enabling or disabling some 60 aspects of access and reports in ThinkReservations. Navigate to Settings > User Management > and then click on an employee you wish to manage.

You cannot edit your own account. If you need changes made to your own account, ask an employee with the "Can modify users" permission or reach out to ThinkReservations Support.

Pro Tip: Make sure you have a process in place for your staff. They should be trained to be diligent about logging in as themselves and logging out when done.

Default Permissions that all users have access to:

  • View the Calendar with the guest's first and last name visible

  • View the Wait List and the ability to view, create, and delete Wait List entries

  • View the Tasks report and the ability to complete, create, and delete entries

  • Change the name of their user

  • Reset their own password

Important note regarding users that have access to more than one account:

Permissions are per account. This allows a property to give a user unique access to their account. If a user has access to multiple accounts, giving them an additional permission does not automatically give that permission to all accounts they have an account with.


What does each permission do?

A checked box means that user has the permission indicated. Most permissions are self-explanatory. Below, we will go through the permissions, and notes that pertain to each.

Can open reservations/bills and view customer profiles

Gives the user access to the following:

  • Open reservations or bills

  • View the Front Desk page (from the top nav)

  • View the Sales page (from the top nav)

  • View customer information or history

  • View the Customers page (from the top nav)

Can create/modify reservations and customers

Gives the user access to the following:

  • Viewing reservations and customers

  • Enables buttons on the reservations to perform reservation and payment actions

  • Ability to enter text into note fields on the left

Can refund payments

Can access hotel and email configurations

Gives the user the ability to see and manipulate settings in the backoffice.

Can modify users

Can modify and delete users and their permissions. This permission should be reserved for high-level employees.

Can access Payment Gateway configuration

Gives the user access to the Payment Gateway page in the Settings menu. This page shows your payment gateway connection(s) and which one is actively in use. It is a read-only page - changes must be made through ThinkReservations support staff.

Can view billing invoices and receipts

Can make changes to billing subscriptions

Should receive a copy of every invoice emailed to them
