How to manage housekeeping and service tasks using the updated Tasks page released on Dec 10, 2025

Using the Tasks Page for Housekeeping & Service Tasks

The Tasks page in ThinkReservations provides a centralized location to view, create, assign, and manage all Housekeeping and Service tasks. This guide walks you through enabling the new feature, navigating the Tasks page, creating tasks, and interacting with the task list.


Enabling the New Tasks Feature

Before using the new Tasks page, you must enable it in your account.

  1. Go to Settings > Feature Flags

  2. Toggle on Enable new tasks


Navigating to the Tasks Page

You can access the Tasks page in two ways:

  • Click the task list icon found in the top-right corner of ThinkReservations
    OR

  • Open the main navigation menu and select Tasks


Filtering the Task List

Filtering helps you quickly locate tasks based on due dates, status, and assignees. Filters are cumulative.

Filter by Due Date

  • Today (default)
    Shows all overdue tasks plus tasks due today.

  • Next 7 Days
    Shows all overdue tasks plus tasks due within the next 7 days.

  • Last 7 Days
    Shows all overdue tasks plus tasks that were due in the past 7 days, including completed tasks.

  • Custom Date Range
    Shows only tasks due within the selected date range.
    Note: Overdue tasks are not included in custom date range results. Completed tasks are included.

Filter by Status

  • Active
    Incomplete tasks that meet the due date filter criteria.

  • Started
    Tasks that are currently in progress—meaning a user has clicked Start inside the task.

  • Completed
    Tasks that have been marked as completed.

  • Aborted
    Tasks that were intentionally stopped and will no longer be completed.

Filter by Assignee

Use this filter to view tasks assigned to a specific user.
This is especially useful for Housekeeping teams to view each housekeeper’s workload.

  • Tasks with no assigned user will appear as Unassigned unless the list is filtered by a specific assignee.

Note: If a user wishes to view only tasks assigned to them, they will need to apply the Filter by Assignee.


Creating New Tasks

A task can be created by one of four methods:

  1. Created automatically by way of an item task rule (Learn more about item task rules here)

  2. Created automatically by the Housekeeping Module based on the status of a room (Learn more about the Housekeeping Module here)

  3. Created manually from the Tasks tab of a reservation.

  4. Click the New button on the top right of the Tasks page to create a task.

Note: You cannot change the Task Type after the task is created. All other fields—including Title, Description, Due Date, Assignee, and Location—can be edited later.

Task Fields & Definitions

Task Type

Choose from three task types:

  • Housekeeping
    Used for room cleaning and turnover tasks. Automatically assigned for tasks generated by the Housekeeping Module, but can also be created manually.

  • Service
    Automatically assigned for tasks created from a reservation, but can also be assigned manually. Used for guest service tasks such as “Order flowers,” “Prepare cheese board,” or other amenity preparation.

  • Maintenance
    Used for property upkeep tasks such as “Fix leaky faucet” or “Replace lightbulb.”

Title

A brief name or summary of the task. This appears in the task list.

Description

A detailed explanation of the task. This is visible when the task is opened.

Due Date

The date the task should be completed.

Assignee

The user responsible for completing the task.
If left blank, the task will remain unassigned and visible in the list as long as you are not filtering by assignee.

Location

Assign a specific room or common area where the task should take place.


Interacting With the Task List

Editing Tasks

  1. Click a task to highlight it.

  2. Click Edit in the top left of the page, or simply double click a task.
    When the task opens:

    • Click Edit (top right of the task window) to adjust the Title, Description, Due Date, Assignee, or Location.

  3. Inside the task, you can also:

    • Click Start Task to mark it In Progress

    • Click Complete when finished

    • Add notes using the note box on the right side, then click Add Note


Clearing Your Selection

If you have a task highlighted, click Clear Selection to deselect it and return to a neutral task list view.


Deleting a Task

  1. Click a task to highlight it.

  2. Click Delete in the upper left.

  3. Confirm by clicking Delete in the prompt.

Note: Deleted tasks cannot be recovered.
