The Housekeeping Module allows the property to manage housekeeping work by scheduling and assigning cleaning tasks to housekeepers and monitoring the status of each room.

Housekeeping Module
Access the Housekeeping Module through the ThinkReservations logo in the top left corner of your account.
This tool is designed for use by property admins. Users must have the permission "Can access hotel and email configuration" enabled to access the Housekeeping module.
The Housekeeping module is made up of three sections:

Note: Before you can begin using the Housekeeping Module, the settings section must first be configured.
Settings
Sections
How is your property divided? This is different from Room Groups (which generally align with room types) and can have rooms of all types in any given section. Examples of sections include: first floor, second floor, east wing, and north cabins. Sections can also be identified by numbers. Sections are optional, but configuring them first ensures you will be able to assign a room or common area to it's section.
Configuring Sections
To create a section, click the New button in the top right
To edit an existing section, click on the section from the list (you'll see it's highlighted blue when it's selected), then click the Edit button.
Next, add or update the name
Used for the Schedule by Housekeeper and Schedule by Section reports.
Examples include: First Floor, East wing, Inside, Outside, North Cottages.
Rooms
Your list of rooms will be pulled directly from your Room Settings. For every room, assign the respective number of cleaning and laundry credits, as well as sections and laundry units.
Configuring Rooms
To edit a room, click on the room from the list (you'll see it's highlighted blue when it's selected), then click the Edit button.
Next, add or update the parameters:
Section: Select a section from the list of those you configured
Laundry Unit: Disregard this setting/leave it configured as "Default" - this setting has been deprecated.
Full Clean Credits: The amount of time/credits it takes a housekeeper to clean this room to welcome a new guest.
Stay Over Credits: The amount of time/credits it takes to do a “tidy” or stayover.
Note: Every 3rd day, no stayover credits are added. Instead, Linen Change Credits are added.
Linen Change Credits: The amount of time/credits it takes to do a “tidy” or stayover every 3rd day
Note: this replaces the "Stay Over Credits" every 3rd day and assumes you are also going to change the linens.
Vacant Clean Credits: The amount of time/credits it takes to check and dust vacant rooms.
Note: Vacant Clean Credits will not be considered unless they are first enabled in Configuration.
Laundry Credits: This setting has been deprecated - disregard.
Laundry Checkout Credits: This setting has been deprecated - disregard.
What is a credit?
A credit is a unit of time used to measure the amount of work required to clean a guest room. You decide if one credit equals one minute, or something else, such as 15 minutes. The number is not programmed into the system; you simply decide what a credit represents at your property. This helps you know how many hours the housekeepers need to be scheduled to work on a given day.
For example, if a credit is 15 minutes, then a suite that takes 1 hour to clean between reservations would need 4 cleaning credits for a full clean.
If a credit is one minute, then it would take 60 credits.
Common Areas
Are there any common areas that require regular or periodic cleaning by the staff? These areas may include the dining room, porches, living spaces, and more. Sections and cleaning credits are assigned to each Common Area.
Configuring Common Areas
To create a common area, click the New button in the top right
To edit an existing common area, click on the common area from the list (you'll see it's highlighted blue when it's selected), then click the Edit button.
Next, add or update the parameters:
Name: Choose a name for your common area that will be used for the Schedule by Housekeeper and Schedule by Section reports
Section: Select a section from the list of those you configured
Everyday Clean Credits: The amount of time/credits it takes to clean this area daily
Configuration
The Configuration Settings allow you to customize how you manage housekeeping work inside ThinkReservations.
Sync tasks:
Toggle this on to enable the system to automatically generate Housekeeping Tasks for rooms based on their status.
Below is the logic that dictate what tasks are created and when:
Clean: Generated on the day of a reservation's departure
Stay Over: Generated each day of a mulit-night stay except departure day and linen change days
Change Linens: Generated on the night designated by the 'Number of nights per linen change' setting. For example, if set to 3, this will be generated on the third night of any stay of 4 + nights.
Vacant Clean: Generated for rooms that do not have a departing guest.
Inspection: Generated when a clean, stay over, or vacant clean task is completed (if inspections are enabled).
Enable inspections:
Toggle this on to include the Inspecting and Inspected statuses in your Housekeeping workflow.
Enable vacant cleans:
Toggle this on to enable the system to automatically generate a Vacant Clean task for rooms that do not have a departing guest.
Enable linen changes:
Toggle this on to enable the system to automatically generate a Change Linens task after the number of nights you configure.
Number of nights per linen change:
Select the number of nights after which you would like the system to generate a Change Linens task instead of a Stay Over housekeeping task.
Show housekeeping notes for departing reservations:
Toggle this on to show a reservation's housekeeping notes on the Schedule by Housekeeper and Schedule by Section pages.
Activity Report
The activity report will show total assigned cleaning credits calculated throughout a selected date range, broken down by housekeeper. Additional housekeeping reports are available in the Reports menu of your account.
Housekeeping: Day-To Day Use of the Module
Dashboard
The Dashboard will give you an at-a-glance overview of the status of each room, and allow you to manage the housekeeping status of each room from one place.
#1: Status Cards
The cards across the top of the dashboard show how many rooms are in each housekeeping status at a glance.
#2: Room List
The room list gives you more detail about each individual room:
Status: The current status of the room (Dirty, Cleaning, Clean, Inspecting, Inspected)
Service: What type of cleaning service is needed for the room based on the day's reservations
Guest: Name of the guest staying in or departing from the room
Stay Duration: How many nights the current guest is staying and at what point in the stay they are
Housekeeper: To whom the room is assigned
Time: How long has the housekeeping task been In Progress
#3: Filters
Use these to filter your room list by the current housekeeping status or section. The status and section filters are cumulative if both are applied at once.
#4: Modify Status
You can modify the housekeeping status directly from the dashboard. Click on the room to select it (you'll see it highlighted in blue), then click the Modify Status button and select the correct status from the dropdown menu.
You can also select multiple rooms at once by holding down the shift key or control/command key while you select!
Note: If you have the 'Sync tasks' setting enabled, the status will update as dirty, cleaning, or clean in real time as associated Housekeeping tasks are updated! Inspection status can only be updated from the dashboard.
Assignments
The assignments page will be used by the housekeeping manager each day to assign required housekeeping work to individual staff members. The date selector in the upper right will default to today's date but can be adjusted to any other date as needed.
A list of all rooms and common areas will be shown, along with the services needed and the number of credits required for each. This list can be filtered by service type or section using the dropdown menus at the top.
The Staff section on the right shows the number of credits assigned to each housekeeper. This helps the housekeeping manager both plan for that day and also ensure work is distributed as needed.
To assign rooms and common areas to specific housekeeping staff, select the items from the list. You can hold down the shift key or control/command key while clicking to select multiple items at once! Next, choose the housekeeper from the dropdown menu in the top left, click the Assign button, then click Save. To unassign, simply select the assigned rooms, choose "None" from the dropdown, then assign and save.
Schedules
After completing the Assignments section, the Schedule can be generated and printed for the day. You may choose to print the schedule grouped by Housekeeper or by Section by selecting the corresponding page from the menu on the lefthand side.

Schedule by Housekeeper
This report shows the work that needs to be done, and is broken down by the assigned housekeeper. Any unassigned work will appear at the top. You can also filter by housekeeper using the dropdown menu in the top right. To print this page, use the keyboard shortcut Ctrl + P (Windows) or Command + P (Mac).
Schedule by Section
This reports shows the work that needs to be done, and is broken down by section rather than by housekeeper. Rooms or Common Areas that are not assigned to a section will appear at the top. You can also filter by section using the dropdown menu in the top right. To print this page, use the keyboard shortcut Ctrl + P (Windows) or Command + P (Mac).
Front Desk Report
When managing Housekeeping statuses and tasks, this information will automatically be updated on the Front Desk Report.
On the left side, you'll see each room with an icon representing the Housekeeping Status. On the right side, you'll see your Arrivals and Departures lists. When a room has been cleaned and inspected, you will see a check mark appear on the Arrivals list, indicating the room is ready for a guest. Refresh this page frequently for the most up-to-date information.
Creating Housekeepers as Users:
Since credits are assigned out to aid in scheduling staff, it is recommended to create a housekeeper users for each member of your housekeeping team. These users can be set up individually with unique logins, displaying the name of each housekeeper in the corresponding menus. Alternatively, generic users can be created, such as Housekeeper 1, 2, 3, and so on.
When creating housekeeper users, ensure they are designated as "Is a housekeeper" in User Management. Housekeeper users have access to the same list of permissions as other users, allowing you to select the appropriate permissions for each housekeeper.
